Join Police Digital Service as Executive Assistant & Departmental Support
The Role Holder is required to provide a high standard of secretarial and administrative support to the Senior Leadership Team Directors and additional leadership team members as and when required. They are responsible for the smooth and efficient running of the CEO’s Private Office.
Key Responsibilities

  • Organise and maintain the Executives’ diary, making appointments to make effective use of the Chief Executive’s time.
  • Proactively manage the Executives’ Calendars and where proportionate support the Directors mailboxes to ensure critical messaging is actioned and where necessary raise through SLT / CEO Private office.
  • Organise the Executives inbox and handle with the appropriate sensitivity.
  • Organise intensive travel arrangements which includes flights, visas, accommodation, and conference bookings when required for the SLT.
  • Take actions and decisions for meetings when required and manage the tracking process of the actions.
  • Screen phone calls, enquiries, and requests, and handle them with appropriate sensitivity.
  • Manage the CEO’s private office performance tracker to ensure all SLT/SMT tasking is being executed and escalate accordingly.
  • Organise team meetings, collate meeting agendas, materials and note actions.
  • Deal with all forms of incoming correspondence including both preparing draft responses personally and commissioning staff to facilitate the preparation of draft responses.
  • Produce documents, briefing papers, reports, and presentations.
  • Liaise with stakeholders, suppliers, and other staff.
  • Take responsibility for delivering expected outcomes on time and to standard.
  • Take responsibility for the quality of own work, seeking opportunities for improvement through continuous learning and encouraging developmental feedback from others.

What you need to succeed in the role

  • Excellent verbal and written communication skills, with the ability to absorb and summarise information quickly
  • Work experience as an Executive Assistant, Personal Assistant, or similar role
  • Excellent MS Office knowledge
  • Familiarity with office gadgets and applications (e.g., e-calendars and copiers)
  • Excellent verbal and written communications skills
  • Strong communication skills (via phone, email, social media, and in-person)
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organisational skills with an ability to think proactively and prioritise work
  • Organisation: can marshal resources (people, funding, materials, support) to get things done and can orchestrate multiple activities in parallel to accomplish a goal
  • Previous experience of diary management
  • Polished and professional; an ambassador for the company
  • Ability to focus on the overall goals of the company, not just short term/immediate tasks
  • 2+ years EA experience
  • Proven ability to manage multiple demands at one time
